The Division of Finance and Administration (F&A) includes the Departments of Facilities Services and Capital Planning, Financial Operations - including the Budget Planning Office (BPO) & Business Affairs Office (BAO), Human Resources, Information Technology Services, Internal Audit, Payroll Operations, Procurement, Contract Services & Risk Management, Resilience Emergency Management & Safety (REMS).

Position Summary

The Executive Assistant & Project Coordinator (EAPC) provides executive administrative support and project coordination to the Vice President of Finance and Administration (VPFA).

They coordinate projects, reporting and informational flow across units within the Division of Finance & Administration (F&A) and are responsible for the general management of the VPFA's Office. They serve as a liaison between the VPFA and other Vice Presidents, the President, college deans and university constituents. They are responsible for the management of independent and collaborative business affairs projects and establishing effective project reporting, tracking and filing systems for the Division of F&A.

The EAPC strategically plans and manages the VPFA's calendar, travel, and deadlines. Information used is often confidential, requiring discretion. They may act on behalf of the VPFA, using independent judgment based on considerable knowledge of the projects and priorities of the University.

Minimum Requirements

  • Bachelor's Degree in business administration, computer science or related field.
  • Three (3) years of experience in increasingly responsible administrative support.
  • Two (2) years of experience in supporting project initiatives, including facilitating and coordinating project activities
Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.
  • Ability to effectively and respectfully work, communicate, and collaborate in diverse, multicultural, and inclusive settings
  • Ability work independently or alternatively to coordinate and lead a diverse team to plan and complete projects with specific deliverables and ambitious timelines.
  • Expertise to understand and work with operational and financial data and identify anomalies or relationships with specific attention to detail.
  • Exhibit strong critical thinking, problem-solving, analytical, organizational and written/oral communication skills.
  • Experience in maintaining a high level of confidentiality and professionalism.
  • Demonstrated proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Project, Visio and Outlook.
Preferred Qualifications
  • Experience using Agile, Lean, Six Sigma or other project management methodologies
  • Five (5) years of administrative support and project coordination experience
