Administrative Assistant

The College of Engineering Dean's Office is seeking an Administrative Assistant to support the leadership team. This role will serve as the front desk coordinator for the Office of the Dean, acting as the primary point of contact for visitors and inquiries, managing meeting schedules, processing reimbursements, and supporting the daily operations of the Dean's Suite. The position will work closely with the Executive Assistant and administrative staff to coordinate office activities, maintain efficient procedures, and ensure a high level of customer service. The ideal candidate will bring strong organizational skills, a collaborative approach, and the ability to effectively manage multiple priorities in a dynamic environment.

Key responsibilities include:

  • Plan, organize, and coordinate daily office operations and administrative processes
  • Greet visitors, provide information, and route inquiries appropriately
  • Manage calendars, schedule meetings, and coordinate travel arrangements
  • Draft, review, and distribute internal and external communications
  • Create and maintain files, records, and databases
  • Serve as liaison with Finance Hubs to initiate and monitor financial transactions
  • Maintain office supply inventory and place orders as needed
  • Coordinate special events, including space reservations, itineraries, materials preparation, vendor communication, and cross-team logistics
  • Interview, train, and supervise student employees

Minimum Education, Work Experience & Required Certifications

General Equivalency Diploma (GED) or High School (HS); 2+ years of relevant experience; Required Certifications: None

Work Arrangement

Given the operational nature of this position, the successful candidate will be expected to work Penn State's standard 40-hour schedule on-site. Limited remote work opportunities may be available based on operational needs.

Salary & Benefits

The salary range for this position, including all possible grades, is $40,608.00 - $58,836.00.
